Privacy Policy

Your privacy matters to me. This policy explains what information Soulful Mind & Body LLC (“I,” “me,” or “my”) collects through alisonsherwoodhypnotherapy.com and my services, how I use it, and the choices you have.
Information I collect
Information you give me: This includes your name, email, phone number, and message when you use my contact form, join a wait list, or subscribe to my newsletter. If you become a client, it also includes the details on my intake form, such as your address, date of birth, place and time of birth, and health and mental health history.
Payment information: Payments are handled by Stripe and Square. I do not use your payment details for anything other than processing your purchase.
Group calls: I record only my own guided hypnosis, as audio, with all participants muted, so that participants who miss a call can listen to a replay. Participants’ video, voices, and names are not recorded. Your video, voice, and name are visible only to me and the other participants during the live call.
Website information: Like most websites, mine may collect basic information such as your browser, device, and pages visited, using cookies or similar tools.
How I use your information
I use it to respond to your messages, schedule and deliver sessions and programs, send the self-hypnosis audio files and materials included with your program, process payments, share program updates you’ve asked for, keep required records, and improve my website.
Who I share it with
I will never sell your personal information. I share it only with the service providers I need to run my business, such as Zoom, Stripe, square, Calendly, my website host, Mailchimp and Sender.
Information revealed in sessions is kept confidential, within the limits of professional supervision and consultation with colleagues. By law, I may need to release information in these situations:
Knowledge of child abuse or neglect
Knowledge of senior citizen abuse or neglect
A client poses a serious risk of suicide and is in imminent danger to self
A client poses a threat of imminent danger to another person
A court-issued subpoena
Knowledge of a felony that has been, or is being, committed
In all other situations, I need your signed authorization to release information.
Group calls and the privacy of participants
Group calls are live. Only my own guided hypnosis is recorded, as audio, for replay purposes, with all participants muted. Participants’ video, voices, and names are never recorded, so what is shared in the circle stays in the circle. Replays are sent privately and only to the participant who missed the call, will not be shared with anyone else, and are for that participant’s personal use only. Please do not share, copy, or post a replay, do not record, screenshot, or share any part of a group call, and do not repeat what other participants share. Audio recordings created for you remain the copyright of Alison Sherwood and Soulful Mind & Body LLC.
Emails and texts
I send self-hypnosis audio files, appointment confirmations, and program information by email or text only if you’ve said that’s okay on your intake form. You can unsubscribe from marketing emails at any time using the link in the email.
Security and how long I keep information
I take reasonable steps to keep your information safe, including secure, password-protected systems. I keep client records for as long as needed to provide services and meet legal and record-keeping requirements, and then delete them securely.
